Volunteering

The Club is run solely on volunteers, without the continued help of many members the events held at the track each week simply could not happen.

Our facility is leased by the club from Lake Macquarie City Council. We are all volunteers and we need to pay all associated fees and maintain the facility independently (e.g. Lease fees, electricity, water rates, grounds maintenance - mowing, whipper snipping etc.)

Most roles are certainly not to challenging to take on, so please do not feel overwhelmed with the thought of offering help!

There are many different areas of help that members can offer their time for and full guidance for a volunteering role will be provided by another experienced club members. We encourage club members to help when they are available, there is no continuous committed required from anyone but we find a little help from everyone here and there is plenty.

Looking for something to do while your child is coaching or gate practice? We always need help in the canteen area, spraying weeds, yard maintenance, general tidying etc. Just ask – we will easily find you a job! 

As a community we all have skill sets that can be put to good use at the club, each of these skills sets are highly valued and can positively influence others as well as offer you a sense of self reward!  

Maybe you have another area of expertise you can help with .  Please don’t hesitate to have ask – we are all volunteers trying to make sure the club runs at it’s best for our riders.

Please read through the various volunteering roles required for the club to run and if you would like to take your first step towards volunteering please reach out to the many club representatives for guidance.

Here is the basic description for each role within the club:

  1. Race Administrator (sign on) – This person is required to setup the Sqorz system and ensure all network systems are active. They must manage all payments made by riders and load them into the correct category. Once all race entries have been loaded then moto sheets can be printed, this will tell the staging director what lane each rider is in through the night.
  2. Gate Starter – Is responsible for the setup and shutting down of the gate, operating the gate for each race throughout the night and to ensure good safety standards are followed by the riders. Communication with the Flag person/first aid to ensure clear track situations exist.
  3. First Aid Officer – All events are required to have a first aid role occupied prior to racing, practice and coaching they will need to have a current "Provide First Aid" certificate or higher (HLTAID003/HLTAID011) in first aid to comply with the AusCycling requirement. They are to provide first responder duties in the event of an accident and begin treatment based on the individual situation. All accidents are to then be report to the race administrator for documenting and record keeping purposes.
  4. Staging Coordinator - The stager shall be the person calling the racers to their motos based on the draw sheets produced from the Sqorz system managed by the Race Administrator.  
  5. Mini Wheelers Gate Starter – The person is responsible for carrying the gate out to and back from the track as well as operating it.
  6. Track setup and pack up – There are various pieces of equipment that required setting up prior to racing e.g. gate setup, the start lights, microphone and speaker. There sometimes is a need to use the clubs blower to blow the track clean to ensure sticks rocks etc. are removed.
  7. Canteen – We require a minimum of 3-4 volunteers in the canteen for a smooth flowing race night. We begin set up and preparing food during sign-on, but especially require help during the break time when it’s most busy, however any time is appreciated. Volunteers can help wherever they feel most confident. Some of the tasks include - Food preparation, basic cooking as per menu, taking orders/using the square register, filling orders by making simple menu items that have been pre-prepared, bagging lollies/restocking drinks and washing dishes.
  8. Working bees - Held throughout the year on various days as needed. Communication regarding these events on social media.

To be a volunteer and assist at club events you need to:
